Before an ingredient reaches a chef, a bottle reaches a bar, linen reaches a room or supplies reach an operating department, someone needs to make sure that what we ordered is exactly what we received.

That is where you come in.

We are looking for a sharp, dependable and highly organised Receiving Clerk who understands that receiving is not simply about accepting deliveries.

It is about protecting quality, cost and control.

You notice when 20 units were ordered but only 18 arrived.

You question when the price on an invoice does not match the approved order.

You check expiry dates rather than assuming they are fine.

You don't accept damaged goods because a supplier is in a hurry.

And you don't sign documents you haven't verified.

We are therefore looking for a detail oriented, organised and dependable Receiving Clerk who understands that what comes through our receiving area ultimately affects what goes out to our guests.

ABOUT THE ROLE

As Receiving Clerk, you will be responsible for accurately receiving, inspecting, documenting and recording goods delivered to The Social House.

You will ensure that every accepted delivery corresponds with the approved order in terms of:

• Quantity
• Quality
• Specification
• Price
• Condition
• Expiry date, where applicable
• Supporting documentation

You will work closely with Procurement, Finance, Stores, Culinary, Food & Beverage and other operating departments to maintain a controlled and efficient receiving process.

You will also interact regularly with suppliers, which means you must be professional, confident and firm when something does not meet our requirements.

You interact with suppliers, chefs, storekeepers, Finance, Procurement and operational teams every day.

You communicate discrepancies clearly and professionally.

You can be firm without being disrespectful.

WHAT YOU WILL DO

As Receiving Clerk, you will:

• Receive and inspect all goods delivered to The Social House in accordance with approved procedures.

• Verify every delivery against the relevant Purchase Order/LPO, delivery note and invoice.

• Confirm that quantities delivered correspond with quantities ordered.

• Verify descriptions, specifications and approved prices before accepting goods.

• Physically count, weigh or measure products where appropriate rather than relying solely on supplier documentation.

• Check the quality, freshness, packaging and condition of delivered goods.

• Check manufacturing and expiry dates where applicable.

• Ensure perishable goods meet the required temperature, freshness, hygiene and quality standards.

• Work with Culinary, Food & Beverage and relevant departments when specialist inspection or acceptance is required.

• Reject or escalate goods that do not meet approved specifications.

• Identify short deliveries, over deliveries, substitutions, damaged goods, incorrect items and other discrepancies.

• Immediately report unusual or significant variances.

• Prepare and process Goods Received Notes (GRNs) accurately and promptly.

• Record accepted goods accurately within the hotel's inventory or materials management system.

• Prepare appropriate return documentation for rejected goods.

• Ensure invoices, delivery notes, Purchase Orders/LPOs, GRNs and supporting documents are correctly matched.

• Maintain accurate daily receiving records.

• Ensure documents are properly filed and readily traceable.

• Ensure goods are received only from approved suppliers in accordance with established purchasing procedures.

• Monitor supplier compliance with agreed delivery requirements and product specifications.

• Maintain a clean, secure, organised and hygienic receiving area.

• Ensure goods are transferred promptly to the appropriate storage or operating area to protect quality.

• Support stock counts and inventory reconciliation when required.

• Work collaboratively with Finance, Procurement, Stores, Culinary and other operating departments.

• Comply with hotel requirements relating to food safety, hygiene, health and safety and inventory control.

Was this actually ordered?

Is this the correct quantity?

Is this the agreed product?

Is the quality acceptable?

Is the price correct?

Is the expiry date acceptable?

Is the documentation complete?

Should I be signing for this?

If something does not add up, we expect you to stop and check.

WHAT WE ARE LOOKING FOR

You should bring:

• A Certificate or Diploma in Purchasing & Supplies, Procurement, Stores Management, Accounting, Hospitality Management or a related field.

• At least 5+ years of relevant experience in receiving, stores, inventory control or a comparable position.

• Previous experience within a 4 or 5 star hotel, premium restaurant, hospitality business or similarly controlled environment is strongly preferred.

• Practical knowledge of receiving and inventory procedures.

• Experience working with Purchase Orders/LPOs, delivery notes, invoices, GRNs and return documentation.

• Good understanding of stock control and inventory reconciliation.

• Experience using inventory, purchasing, accounting or materials management systems.

• Good computer skills, including Microsoft Excel.

• Strong numerical ability.

• Excellent attention to detail.

• Strong record keeping and organisational skills.

• Ability to identify discrepancies in quantity, price, quality and specification.

• Basic understanding of food safety and receiving requirements for perishable goods.

• Good written and verbal communication skills.

• Confidence interacting professionally with suppliers.

• Ability to work collaboratively across several hotel departments.

• Strong integrity, accountability and professional judgement.

• Ability to work efficiently in a fast paced environment without sacrificing accuracy.
